ETZ Vendor Portal

Take on new suppliers without the spreadsheets and the email chains. Vendors register themselves, the verifications run on their own, two approvals sign off, and the supplier lands in SAP S/4HANA complete and correct.

What it does

From invitation to a supplier in SAP

Follow one supplier through the portal: the invitation, their registration, the verifications, two approvals and the supplier number from SAP.

or swipe left

Every supplier starts with an invitation

A buyer invites the vendor and gives the business reason. The portal verifies the name against your SAP suppliers straight away and emails a link that works once and expires.

The vendor fills in their own details

Company, address, contacts, tax, bank and compliance, with the documents to back them up. The vendor signs in with MFA, every upload is scanned for malware, and nobody in your team retypes a thing.

The verifications run before anyone approves

Duplicate, tax ID, sanctions and bank verifications run on every submission. A flag never slips through: the approver has to review it, accept it and say why, or send the registration back.

Two approvals, by two different people

Procurement approves, then AP/Finance. Whoever invited the vendor can’t approve them, and the two approvers must be different people. Tax and bank values stay masked; only Finance can show them, and every look is recorded.

The supplier lands in SAP, once

The portal creates the business partner and supplier in S/4HANA in a single call, with the payment block set until Finance has verified the bank account. If SAP is down, it queues and retries under the same reference, so a retry never makes a duplicate.

An audit trail for every supplier

Every invitation, sign-in, verification, approval, unmask and SAP call is written down: who, when and what changed. An auditor’s question about a supplier is answered on one screen.

Built for everyone who touches a new supplier

  • Buyers

Invite a supplier in a minute and follow the request to the supplier number, without chasing forms by email.

  • Vendors

One secure link, a form that works on a phone, and a status page that says where the registration stands.

  • Procurement

A review queue with the verification results beside every request, and nothing reaches SAP without your approval.

  • AP and Finance

Bank and tax data you can trust, masked until you need it, and a payment block that holds until the account is verified.

  • Integration support

SAP errors come to you, not to the vendor, with every attempt logged and a retry that can’t create a duplicate.

Clean supplier data before it reaches SAP

Duplicate suppliers, mistyped bank details and missing documents start with forms passed around by email and keyed in by hand. The portal puts the vendor’s own details into a verified, approved request, and sends SAP exactly what was approved, in one go, with the documents attached to the business partner.

Built on SAP BTP

SAP Cloud Application Programming Model and SAP Fiori apps, SAP Cloud Identity Services for sign-in and MFA, and the SAP Cloud Connector to S/4HANA. The supplier is created through SAP’s standard Business Partner API, with no SAP Master Data Governance needed.

Controls the screen can’t get round

  • Invite-only, with MFA for everyone

Vendors get in only through a single-use link that expires, and sign in with an authenticator app or a passkey. Employees sign in through your own identity provider.

  • Segregation of duties, enforced on the server

The inviter can’t give the Procurement approval, and Procurement and Finance must be different people. Holding several roles never gets round it, whatever the screen shows.

  • Sensitive data encrypted and masked

Tax and bank values are encrypted at rest and masked on every screen. Only Finance can show them, and each time is written to the audit trail.

  • SAP outages don’t lose or double a supplier

Approved requests queue for SAP and retry under the same portal reference, which the portal looks up before it posts. Errors go to integration support, never to the vendor.

  • Every step on the record

From the invitation to the documents attached in SAP, every action is logged with the person, the time and what changed.

What is the ETZ Vendor Portal?

A supplier onboarding portal for SAP S/4HANA. A buyer invites a vendor, the vendor registers and uploads their documents, automated verifications run, Procurement and AP/Finance approve, and the portal creates the supplier in SAP with the supplier number written back.

Where does it run?

On SAP Business Technology Platform, built with the SAP Cloud Application Programming Model and SAP Fiori. Sign-in goes through SAP Cloud Identity Services, and the portal reaches S/4HANA on-premise through the SAP Cloud Connector, outbound only.

Does vendor data reach SAP before it is approved?

No. Registrations stay in the portal’s own store until both approvals are done. Vendors never connect to SAP, and only the portal’s backend calls it, with a restricted technical user.

What happens if SAP is down when Finance approves?

The request waits in the SAP queue and retries on its own. Before each attempt the portal looks for a supplier already created under the same reference, so a lost response or a retry never creates a second supplier. Integration support is alerted if it stays down.

Do we need SAP Master Data Governance?

No. The portal creates the supplier through SAP’s standard Business Partner API and attaches the documents through SAP’s released attachment API. It runs its own approval workflow, so it needs no extra SAP products.

Can vendors change their details after onboarding?

The portal covers taking a new supplier on. Once a supplier is active, changes such as new bank details go through their buyer, and the vendor’s status page says so.
